New Features & Integrations

Black Pug Software / 247Scouting Integration

Our integration with Black Pug Software's 247Scouting platform is now complete. Camps and units already using 247Scouting for registration can connect participant data directly into HealthForms, eliminating duplicate data entry and keeping health form information in sync with existing scouting workflows.

Guided Form Submission Wizard

  • New multi-step wizard with saved progress and step tracking.
  • Uploaded form pages are retained with their source; previously added pages can be restored instead of replaced.
  • Insurance card uploads now generate a PDF copy; members without insurance receive a generated no-insurance PDF.
  • Resetting a submitted form clears temporary pages and cleanly restarts the flow.

Restricted Sessions

  • Sessions can be marked as Restricted and are hidden from users who only hold global event roles.
  • Only Owners and users with explicit event or group permissions can view or act on restricted sessions.
  • Restricted sessions display a shield icon and tooltip in the session list.
  • A Restricted checkbox has been added to session settings.

Clone Session

  • Duplicate an existing session from the session list with a new name and date range.
  • Choose whether to copy groups, user permissions, and participants.
  • Restricted sessions can only be cloned by Owners.
  • After cloning, the app automatically refreshes and opens the new session's settings.

Event User Management

  • New popup for adding users to events, with options for existing users or new invitations.
  • Event permissions grid now shows each user's email, acceptance date, and inherited/global status.
  • Resend invitation is available from both the event permissions and user management screens.
  • Restricted events no longer expose the Manager role when assigning event permissions.

Redesigned Participant View

  • Participant forms now appear as cards showing status, form date, packet names, and the most recent user action.
  • Submit, review, fax, and remove actions are available directly from each card (permissions respected).
  • Packet editing has moved into a dedicated popup, including the option to remove forms tied to deleted packets.
  • Participant history opens in a detail popup with timestamp, user, action, field changes, and paging.

Form Input Mode (Fill vs. Upload)

  • New Form Input Mode on form templates and event assignments determines whether a form is treated as fillable or upload-only.
  • Fill-mode forms prevent image uploads and do not require a doctor signature.
  • PDF fields are automatically extracted and stored when a new form template is created.
  • Member and dashboard views now reflect the form's input mode.

Form Type Editor

  • New Form Type Editor page to view and edit form type details, with a dedicated "Edit Fields" path.
  • Upload a new PDF template to replace an existing blank form; field lists refresh automatically from the new PDF.
  • Existing custom labels and mappings are preserved; fields no longer present in the PDF are hidden.
  • Form fields can be marked as report defaults; inactive fields are excluded from lists.
  • Blank form downloads respect current app and user access rules.

Polished Portal Design

  • New help menu and side panel in the header providing quick access to Support, Privacy/Terms, and a Report an Issue button.
  • Dashboard actions now include member context and navigate to the member's event page.
  • Scroll is restored to top on navigation; obsolete invitation pages redirect to the wizard.

Improvements

  • Performance: Filled PDFs are now pre-generated and stored per page when forms are accepted or rejected, avoiding on-demand generation. Page generation and uploads run in parallel.
  • Mobile PDF Viewer: Improved mobile viewing experience for filled forms.
  • Error Messaging: Clearer 403 notifications and "form type not found" messages.
  • Public API: Create, list, update, and delete form packets per session; add or remove form types from a packet; manage individual session forms and packet assignments for session members. Enforced customer ownership checks across all endpoints.

Bug Fixes

  • Fixed a draft field save issue when editing forms.
  • Internal users are now correctly hidden from customer-facing lists.
  • Fixed PDF viewer initialization errors and resolved "Failed to Extract All Form Fields" errors.
  • Fixed dashboard null reference errors and tightened restricted session security checks.
  • Session Manager filtering now works correctly.
  • EventMembers are now updated to the correct member ID when claiming invitations that contain multiple EventMembers.
  • Invitation expiration now checks the specific invitation rather than all invitations.
  • Form upload guard now correctly allows doctor signature updates.
  • Corrected a multi-factor authentication typo.
