Dashboard

The Dashboard is your at-a-glance view of what's happening across all sessions. It loads automatically when you log in to the Manager.

What's on the Dashboard

The Dashboard has three rows of content:

  1. Summary cards — four key metrics across all sessions
  2. Upcoming Events and Forms Needing Review — two side-by-side panels
  3. Event Form Status and Participant Status — two charts

Summary Cards

Four colored cards at the top show organization-wide totals:

Card Color What It Shows
Active Events Blue Sessions currently in progress (today falls between start and end date)
Pending Review Yellow Total forms submitted and waiting for review across all sessions
Total Members Green Total participants registered across all sessions
Pending Invites Teal Participants who have been invited but haven't accepted yet

Upcoming Events Widget

The Upcoming Events panel (left, wider column) shows the next scheduled sessions.

Default view: The three most upcoming sessions are shown. If there are more, a "Show All (N)" button appears in the top right; click it to expand the list. Click "Show Less" to collapse again.

Each session card shows:

  • Session name
  • Start date ("Starts [date]")
  • Days remaining badge
  • Four status counts:
    • Approved (green) — forms that have been approved
    • Pending (yellow) — forms submitted and waiting for review
    • Invited (blue) — participants who received invitations
    • Waiting (grey) — participants who haven't submitted forms yet

Clicking a session card takes you directly to that session's Participants page.

If there are no upcoming sessions, the panel shows an empty state with an "Add Event" button. Clicking it opens the Add Session popup (same as going to Sessions and clicking "Add Session").


Forms Needing Review Widget

The Forms Needing Review panel (right, narrower column) shows sessions that have forms waiting for your review.

Each row shows:

  • Session name
  • A breakdown by form type and count (e.g., "Health Form: 3, Medication Form: 1")
  • A yellow badge with the total pending count for that session

Clicking a row takes you to that session's Participants page.

If there are no pending forms, the panel shows a green checkmark and "All caught up! No forms pending review."


Event Form Status Chart

The Event Form Status chart (bottom left) is a stacked bar chart showing form status breakdown by session. Each bar represents a session; each segment represents a form status (e.g., Approved, Pending Review, Rejected, Not Started). Hovering over a segment shows the exact count.

If no sessions have form data yet, the chart shows an empty state message.


Participant Status Chart

The Participant Status chart (bottom right) is a doughnut chart showing participant status breakdown across your sessions. Each slice represents a status category; hovering over a slice shows the label and count.

If there are no participants yet, the chart shows an empty state message.


Common Issues

Dashboard shows zeros or empty state

If all cards show "0" and widgets show empty states, there are likely no active sessions or participants yet. Start by creating a session.

Dashboard takes a long time to load

The dashboard loads data for all sessions at once. If your organization has many sessions with many participants, it may take a few seconds. If it consistently fails to load, open a support ticket at https://support.healthforms.io.


Q&A

Q: Where do I find an overview of what's happening across all sessions? A: The Dashboard shows this at a glance — four summary cards at the top (Active Events, Pending Review, Total Members, Pending Invites), upcoming sessions, and forms waiting for review. Navigate to Dashboard from the left sidebar.

Q: How do I see which forms need review? A: The "Forms Needing Review" panel on the Dashboard lists every session that has pending forms, with a count per form type. Click any row to go to that session's Participants page. See Form Review for how to review forms.

Q: What does "Pending Review" mean on the Dashboard? A: Pending Review counts forms that participants have submitted but a reviewer hasn't yet approved or rejected. These need attention.

Q: What does "Waiting" mean on a session card in Upcoming Events? A: "Waiting" counts participants who have been added to the session but haven't submitted their forms yet (they're still filling them out or haven't started).
