Application Access and Permissions

This guide explains which HealthForms.io applications you can access and where permissions are managed.

Overview

What it is: HealthForms.io has two applications — Portal and Manager. Each user's account controls which applications they can access.

Who uses it: All HealthForms.io users.

Why it matters: Your account determines which application you can use and what you can do within it.

Launching Your Applications

After logging in, your account page shows a HealthForms.io Apps card listing the applications you have access to. Click Launch next to an application to open it.

If an application is not listed, your account does not have access to it. Open a support ticket at https://support.healthforms.io.


How Access Is Granted

Users gain access through an invitation:

  • Portal users are invited by a healthcare organization or event administrator
  • Manager users are invited by an organization administrator (and are required to set up MFA)

Access is not self-provisioned — all accounts start with an invitation. See How to Accept a HealthForms.io Invitation.


Permission Roles Within Applications

Permissions within each application (such as which forms you can see, which actions you can take, and which patients or members you can manage) are controlled within the Manager application, not in the Account Service.

If you need to:

  • Change a user's role or permissions within an organization
  • Grant or restrict access to specific forms or members
  • Manage team members

...these actions are performed in the Manager application by an organization administrator.

Common Access Questions

Q: I can't see an application that I should have access to.

Open a support ticket at https://support.healthforms.io. Support can confirm your account was set up correctly or re-send your invitation.

Q: I can log in but can't do something in the Manager app.

Your role within the organization may not have permission for that action. Contact your Manager administrator to review your role.

Q: I need to give a colleague access to HealthForms.io.

Invitations are sent from within the Manager application by an administrator. The colleague will receive an email with instructions to create their account.

Q: Which applications can I access in HealthForms.io? A: The applications you can access depend on your account. Log in and check your account page — the HealthForms.io Apps card lists everything available to you with a Launch button for each.

Q: How do I get access to the Manager application? A: A Manager administrator must invite you. You'll receive an email invitation with a link or code to create your account. Manager accounts also require MFA setup.

Q: Who manages permissions within the Manager app? A: Permissions within the Manager application are managed by organization administrators inside the Manager app itself, not the Account Service.
