How to Reset Your Password

Recover access to your account if you've forgotten your password, or change it whenever you'd like.

Overview

What it is: Password reset allows you to create a new password if you forget your current one, or change your password for security.

Who uses it: Anyone who has forgotten their password or wants to change it.

Why it matters: Passwords should be unique and changed regularly for security. If you forget yours, password reset gets you back in.

Quick Start: Reset Forgotten Password

  1. Go to the login page
  2. Click "Forgot Password?" (below the password field)
  3. Enter your email address
  4. Click "Reset Password"
  5. Check your email for reset link
  6. Click the link in the email
  7. Enter your new password twice
  8. Click "Reset Password"
  9. Done! Log in with your new password

Expected result: You see a confirmation message, then can log in with your new password.

Time: 5-10 minutes

Step-by-Step: Reset Forgotten Password

Step 1: Go to Login Page

Navigate to the login page:

  • Portal: https://app.healthforms.io/portal
  • Manager: https://app.healthforms.io/manage

Step 2: Click "Forgot Password?"

On the login page, below the password field, click the "Forgot Password?" link.

Step 3: Enter Your Email

You'll see a page asking for your email address.

What to know:

  • Use the exact email your account was created with
  • Email addresses are case-insensitive (John@Example.com = john@example.com)
  • If you registered with Google login, you won't have a password

Enter your email and click "Submit". You can click Cancel to go back to the login page.

Step 4: Check Your Email

An email from HealthForms.io will be sent to your address.

What to expect:

  • Email from: no-reply@app.healthforms.io
  • Subject line: Something like "Reset your HealthForms.io password"
  • Arrives in: Usually 1-2 minutes

Check Spam Folder: If you don't see it in your inbox after 2 minutes, check your spam/junk folder and mark it as "Not Spam."

Open the email and click the reset link.

Important:

  • The link works for 24 hours
  • After 24 hours, you'll need to request a new reset
  • The link is one-time use (you'll get a new one for each reset request)

Step 6: Create New Password

You'll see a form with a Username field (pre-filled with your email) and two password fields. Enter your new password.

Password Requirements:

  • ✅ At least 8 characters long
  • ✅ At least one uppercase character (A-Z)
  • ✅ At least one lowercase character (a-z)
  • ✅ At least one number (0-9)
  • ✅ At least one special character (!@#$%^&*)

Examples:

  • ✅ A long passphrase mixing uppercase, lowercase, a number, and a special character — create your own, and don't reuse any example you find published
  • password - Too simple (no uppercase, number, special char)
  • 123456 - Too simple (numbers only)

Step 7: Confirm New Password

Re-type your new password in the "Confirm Password" field to make sure you didn't make a typo.

Step 8: Click "Reset"

Click the "Reset" button.

Step 9: Confirmation

You'll see a message: "Your password has been reset."

Now you can log in with your new password on the login page.

Step-by-Step: Change Current Password

If you remember your current password and just want to change it:

Step 1: Log In

Log in to your HealthForms.io account normally.

Step 2: Go to Account Settings

Click your profile or name (usually in the top right corner) and select "Account Settings" or "Settings".

Step 3: Find "Change Password"

Look for a section called "Password", "Security", or "Change Password".

Click it to expand the section.

Step 4: Enter Current Password

You'll see a field labeled "Current Password".

Type your current password to confirm it's really you.

Step 5: Enter New Password

In the "New Password" field, type your new password.

Follow the password requirements from above.

Step 6: Confirm New Password

Re-type your new password in "Confirm New Password" to verify.

Step 7: Click "Update Password"

Click the "Change Password" or "Update Password" button.

Expected result: You see a success message like "Password updated successfully."

Password Tips

Create Strong Passwords

A strong password:

  • Is unique (don't reuse passwords from other sites)
  • Is long (12+ characters is even better than 8)
  • Mixes uppercase, lowercase, numbers, and symbols
  • Doesn't contain your name or email
  • Doesn't use words from the dictionary

Use a Password Manager: The easiest way to have strong, unique passwords is to use a password manager:

  • LastPass - https://www.lastpass.com
  • Bitwarden - https://bitwarden.com (free)
  • Dashlane - https://www.dashlane.com

Password managers generate strong passwords and remember them for you!

Update Regularly

Change your password:

  • Every 90 days (best practice)
  • Immediately after you suspect someone knows it
  • After a data breach (check haveibeenpwned.com)
  • If you've used the same password on another site that got hacked

Common Issues

Issue: Reset Email Doesn't Arrive

Possible Causes:

  • Email went to spam folder
  • You used a different email than your account
  • Email server is slow (up to 5 minutes)

Solutions:

  1. Check spam folder - Look for emails from no-reply@app.healthforms.io
  2. Wait 5 minutes - Email can be slow sometimes
  3. Try again - Request a new reset link
  4. Check email address - Make sure you're using the right email
  5. Contact support - If nothing works, submit a ticket through the support portal at https://support.healthforms.io

The reset link expired (they last 24 hours).

Solution:

  1. Go back to Step 2 (Forgot Password page)
  2. Request a new reset link
  3. Check your email for the new link

Issue: "Invalid or Expired Token"

The reset link is invalid or expired.

Solution:

  1. Don't click the back button
  2. Request a new reset link
  3. Use a fresh link from your most recent reset email
  4. Links expire after 24 hours - get a new one if needed

Issue: Password Doesn't Meet Requirements

You get an error like "Password must contain at least one number."

Solution: Make sure your password has:

  • ✅ At least 8 characters
  • ✅ At least one UPPERCASE letter
  • ✅ At least one lowercase letter
  • ✅ At least one number (0-9)
  • ✅ At least one special character (!@#$%^&*)

Example structure: a memorable phrase plus a number and a special character — create your own; don't reuse a published example.

Issue: "Email Not Found in System"

The email address doesn't have a HealthForms.io account.

Solutions:

  1. Try a different email (you might have multiple accounts)
  2. Open a support ticket at https://support.healthforms.io to request access
  3. If you signed up with Google, you don't have a password (use Google login instead)

Issue: Can't Log In Even After Reset

Solutions:

  1. Make sure you're entering your new password, not the old one
  2. Check CAPS LOCK isn't on
  3. Try clearing your browser cache
  4. Try a different browser
  5. Wait a few minutes before trying again

⚠️ Never:

  • Share your password with anyone (not even admins)
  • Tell your password via email or phone
  • Write it where others can see
  • Use the same password on multiple sites
